Your role

You will be the central point of coordination for day-to-day practice operations, balancing the needs of patients, GPs, nurses and administration staff. You will lead by example, coach your team and remain comfortable helping at reception when needed.

People and patient service

  • Lead reception and administration staff, coordinating closely with nursing and medical colleagues.

  • Manage rosters, workload allocation, onboarding, training and leave, with HR support for recruitment and performance matters.

  • Build a workplace where expectations are clear, feedback is constructive and people treat one another with respect.

  • Coordinate appointment diaries and waitlists with clinicians, improving patient access, telephone responsiveness and patient flow.

  • Act as the operational escalation point for patient complaints, staff concerns and doctor queries, involving the appropriate clinical or professional adviser when needed.

Financial and operational management

  • Monitor budgets, staffing expenditure, purchasing and supplier costs within agreed approval limits.

  • Oversee billing administration, reconciliations, outstanding accounts and Medicare claim exceptions.

  • Coordinate accurate payroll inputs and follow up discrepancies with the payroll provider.

  • Manage stock, equipment servicing, maintenance and contractor coordination.

  • Provide concise reports to the Practice Principal, highlighting trends, risks, recommended actions and progress against agreed priorities.

Quality, systems and improvement

  • Coordinate accreditation preparation and ongoing improvement against the applicable RACGP Standards for general practices.

  • Maintain policies, training records, incident registers and documented follow-up actions.

  • Support privacy, secure records management, workplace health and safety, infection prevention and emergency preparedness with the relevant leads and advisers.

  • Maintain administrative processes for results, recalls, reminders and urgent presentations, with clinical assessment and escalation handled by qualified clinicians.

  • Improve Best Practice workflows and coordinate software changes, access controls and downtime procedures with IT support.

  • Follow through on meeting actions and make improvements that reduce avoidable delays, errors and duplication.

The Practice Manager leads operational coordination. Clinical decisions and clinical supervision remain with the responsible practitioners.

What you will bring

Essential

  • Australian general practice experience in practice management, assistant management or a senior administration position with demonstrated team-leadership responsibility.

  • Evidence of coaching staff, coordinating rosters and workloads, and handling difficult conversations professionally.

  • Practical understanding of Medicare billing administration and general practice accreditation requirements.

  • Confidence with financial reports, budgets, reconciliations and operational performance measures.

  • Strong organisation and prioritisation skills, with reliable follow-through on decisions and actions.

  • Clear communication, empathy and discretion when dealing with patients, colleagues and sensitive information.

  • Confidence using practice software and implementing changes with staff involvement and training.

  • Australian work rights suitable for the position.

Highly regarded

  • Best Practice proficiency.

  • Experience coordinating a completed accreditation cycle.

  • Mixed-billing general practice experience, including relevant DVA and workers compensation billing processes.

  • A Diploma of Practice Management, relevant management qualification, or AAPM membership/certification.

  • Demonstrated improvements in patient access, billing accuracy, team performance or practice efficiency.

We welcome candidates progressing into their first Practice Manager role where they can demonstrate readiness for the responsibilities above.

Your first three months

Together with the Practice Principal, you will agree achievable priorities and measures of success. These will include understanding operational risks, maintaining reliable staffing and patient-service arrangements, progressing accreditation actions and establishing useful financial and operational reporting.

We will look for practical improvements and a well-supported team, alongside sound financial discipline.
